Edit email signature

Edit email signature.

Who can do this: Tenant administrator, Operator

Before you start

  • Use an account with access to the stated page and permission for the chosen action.

Safeguards

  • Signatures belong to a particular user within an organization; users manage their own signatures.
  • Only one default signature is allowed per user per tenant. Setting a new default clears the previous default first.
  • The signature is inserted only where the email body contains {{signature}}. Creating a default signature alone does not automatically append it to every template.
  • The editor supports rich content such as links and pasted images, but the final email renderer and sanitizer decide what is safe to send.
  • Deleting a signature that is referenced by an automation may cause that automation preview or send path to fall back to another/default signature or omit the signature, depending on executor behavior.
  1. Go to Configuration → Automation Center.
  2. Create or edit an automation that sends email to the reporter.
  3. In the email composition step, open "Email Signature" and click Manage.
  4. Create a new signature or select an existing one.
  5. Enter a clear name and write the signature content in the editor.
  6. Save the signature. Optionally click "Set as default" so it is used automatically in previews when no specific signature is selected.

Expected outcome: The user has reviewed the result of edit email signature in the application.

Who can do this: Tenant administrator, Operator

Before you start

  • Use an account with access to the stated page and permission for the chosen action.

  • Only one default signature is allowed per user per tenant. Setting a new default clears the previous default first.
  • The signature is inserted only where the email body contains {{signature}}. Creating a default signature alone does not automatically append it to every template.
  • {{signature}} should be used in the body, not the subject. The preview flags it as an invalid subject placeholder.
  • The editor supports rich content such as links and pasted images, but the final email renderer and sanitizer decide what is safe to send.
  • Deleting a signature that is referenced by an automation may cause that automation preview or send path to fall back to another/default signature or omit the signature, depending on executor behavior.
  • Placeholders are validated in the preview. Unknown placeholders are highlighted so the user can fix them before enabling a rule.
  1. Go to Configuration → Automation Center.
  2. Create or edit an automation that sends email to the reporter.
  3. In the email composition step, open "Email Signature" and click Manage.
  4. Use "Use this signature" to bind a specific signature to the email template when needed.
