Enable time management
Enable time management.
Who can do this: Tenant administrator
Before you start
- Time Management must be enabled. Use the application’s time-entry or approval interface; Richard has no time-writing or timesheet-approval tool.
Safeguards
- Enabling the module exposes personal time, task time entries, the global Log Time button and authorized approval pages.
- Disabling time_management does not delete existing time entries or timesheets — it only hides the UI. Re-enabling restores full access.
- Weeks are created automatically when entries are logged; do not create them manually.
- Go to Configuration → Tenant Management → Features.
- Expand the ITSM section.
- Locate the "Time Management" submodule toggle and enable it.
- Save the changes. The My Time page appears under My Workspace. Time Management remains available for approvers and tenant admins.
- Verify the setup by navigating to My Workspace → My Time and checking that no approval warnings appear.
Expected outcome: The user has reviewed the result of enable time management in the application.
Configure timesheet approvers
Configure timesheet approvers.
Who can do this: Tenant administrator
Before you start
- Time Management must be enabled. Use the application’s time-entry or approval interface; Richard has no time-writing or timesheet-approval tool.
Safeguards
- Timesheet approval requires a configured approval flow with the timesheet_approval permission scope AND team-level approver assignment. Without both, submissions stand without an approval gate.
- Approvers are NOT team members — they are hierarchical managers selected from all tenant users. A team can have one primary approver and one backup.
- If a team has no approver, its members see a warning on the My Time page. The Teams admin page shows a "Missing Approvers" stat and warning badges per team.
- Only configured approvers and tenant administrators can access team time management, scoped to the teams they oversee.
- When a signed report is required, the user must print, sign, scan and upload it before submission.
- The print report includes daily hours, totals, decision timestamps and signature lines.
- A team-specific report email destination, when configured, overrides the organization default.
- To enable timesheet approval, go to Configuration → Workflows and create a flow with the "Timesheet Approval" permission scope.
- To assign approvers per team: go to Configuration → User Management → Teams. For each team, use the "Timesheet Approval" section to assign a primary approver (and optional backup) from any user in the tenant.
- Each team with members who log time must have a primary approver. Teams without one will show warning badges, and their members will see warnings on the My Time page.
- Approvers can configure their preference (weekly or monthly review cadence) and optionally exclude specific users from their oversight — the excluded users will be handled by another approver assigned to the same team.
- Verify the setup by navigating to My Workspace → My Time and checking that no approval warnings appear.
- To require signed timesheets: in the Workflow Settings section, enable "Require Signed Timesheet". When enabled, users must print the A4 report, physically sign it, scan it, and upload the signed document before the Submit button becomes active.
- To configure the report email destination: enter an email address (e.g. hr@company.com) in the "Timesheet Report Destination" field. Approved timesheets will be forwarded to this address.
Expected outcome: The user has reviewed the result of configure timesheet approvers in the application.
Configure completion hours
Configure completion hours.
Who can do this: Tenant administrator
Before you start
- Time Management must be enabled. Use the application’s time-entry or approval interface; Richard has no time-writing or timesheet-approval tool.
Safeguards
- The completion-hours prompt is a separate workflow setting and works only while Time Management is enabled.
- Disabling time_management does not delete existing time entries or timesheets — it only hides the UI. Re-enabling restores full access.
- Go to Configuration → Tenant Management → Features.
- Expand the ITSM section.
- Locate the "Time Management" submodule toggle and enable it.
- Optionally, scroll to Workflow Settings and enable "Time Tracking Confirmation" to prompt operators for hours on task completion.
- Save and verify the task-completion prompt with an appropriate task.
Expected outcome: The user has reviewed the result of configure completion hours in the application.
