Log task time
Log task time.
Who can do this: Tenant administrator, Operator
Before you start
- Time Management must be enabled. Use the application’s time-entry or approval interface; Richard has no time-writing or timesheet-approval tool.
Safeguards
- Hours must be positive (> 0). The UI typically uses 0.25h increments.
- Timesheets are automatically created per user per week when the first time entry is logged for that week. Do not try to create timesheets manually.
- The global "Log Time" quick entry dialog lets operators log time without navigating to a specific task first — it searches entities and tasks inline.
- The Quick Entry dialog shows recent entity+task combos at the top for fast re-selection. One tap selects both entity and task.
- Duration presets (15m, 30m, 1h, 1.5h, 2h, 4h, 8h) are available as clickable chips in all time entry forms.
- Billable and customer controls require Shared Service Center to be enabled.
- Resolve the correct existing task and review the date, hours and description before saving. If only a ticket is known, select the appropriate task rather than creating an unlinked entry.
- Use general activity time for email or meetings without a specific task. Ticket work should stay linked to its task.
- Ensure the time_management submodule is enabled (Configuration → Tenant Management → Features → ITSM → Time Management).
- To log time from a task: open any ITSM entity → Tasks tab → click a task → scroll to the Time Entries section → fill in date, hours, description, and billable → click "Add Entry".
- To log time quickly from anywhere: click the "Log Time" button in the global toolbox (bottom-right SpeedDial) → pick from recent targets or search for an entity → select a task → pick a duration preset or type custom hours → save.
- To complete a task with time: change the task status to "completed". If no entries exist, a prompt appears to log time. Fill in the form and click "Log & Complete".
Expected outcome: The user has reviewed the result of log task time in the application.
Use task timer
Use task timer.
Who can do this: Tenant administrator, Operator
Before you start
- Time Management must be enabled. Use the application’s time-entry or approval interface; Richard has no time-writing or timesheet-approval tool.
Safeguards
- Choose a specific ITSM task before starting a timer.
- The timer requires an automatic stop cap, normally two hours and configurable from 30 minutes to eight hours. Only one timer can run at once. Its state survives a page reload.
- Review the elapsed time and task before saving. A timer is not a general activity entry.
- Ensure the time_management submodule is enabled (Configuration → Tenant Management → Features → ITSM → Time Management).
- To start a timer: in Quick Entry or the My Time weekly view, select a task and click the Timer button → choose a cap (30m/1h/2h or custom) → Start. The timer shows in the GlobalToolbox. It auto-stops when the cap is reached.
Expected outcome: The user has reviewed the result of use task timer in the application.
Review personal time
Review personal time.
Who can do this: Tenant administrator, Operator
Before you start
- Time Management must be enabled. Use the application’s time-entry or approval interface; Richard has no time-writing or timesheet-approval tool.
Safeguards
- The weekly view combines task and general activity time and compares it with your scheduled hours.
- The default schedule is eight hours on weekdays and no scheduled weekend hours; review your own schedule.
- Night shifts are supported in the Week Planner by choosing an end time earlier than the start time.
- Copy Previous Week copies general entries, not ticket task entries; review copied hours.
- Overtime is flagged when total hours exceed the scheduled day.
- Billable and customer fields require Shared Service Center.
- Warnings identify missing team membership or missing approvers.
- Your personal History tab shows submitted, approved and rejected weeks with hours and decision dates.
- Ensure the time_management submodule is enabled (Configuration → Tenant Management → Features → ITSM → Time Management).
- To set up your defaults: navigate to Profile → Week Planner tab. Set shift start/end times, configure hours per day, and drag activities from the sidebar palette onto the Outlook-style time grid. Resize activities by dragging their bottom edge. All placements snap to 30-minute increments. Click any placed activity to add notes or (when SSP is enabled) set billable + customer.
- To re-use last week: on the My Time page, click "Copy Previous Week" to clone last week's general entries into the current week.
- To view your time: navigate to My Workspace → My Time. Toggle between weekly and monthly views. Use period navigation to browse history. Click any day card to add entries inline. Click any entry to edit or delete it.
- To print the timesheet report: click the "Print" button in the action bar (next to Save Draft), or click "Print Report" in the Signed Timesheet section. This opens a print-friendly A4 view in a new window with signature lines.
- To view personal history: navigate to My Time → History tab. Shows all past timesheets with status, hours, and decision dates.
Expected outcome: The user has reviewed the result of review personal time in the application.
Submit timesheet
Review the actual week, attach a signed report if required, and submit it for approval. Submission captures the reviewed period and locks completed tasks; withdrawal returns it to draft and reopens locked tasks.
Who can do this: Tenant administrator, Operator
Before you start
- Time Management must be enabled. Use the application’s time-entry or approval interface; Richard has no time-writing or timesheet-approval tool.
Safeguards
- Timesheets are automatically created per user per week when the first time entry is logged for that week. Do not try to create timesheets manually.
- Submitting a timesheet validates open tasks, recalculates totals, locks completed tasks, then launches the approval flow. For monthly timesheets, all child weeks are submitted first.
- Approvals are routed through the user’s teams; all distinct primary approvers receive work. Excluded users are skipped unless delegation applies.
- Backup approvers receive work only through delegation.
- Withdrawing a submitted timesheet reverts it to draft and reopens locked tasks.
- Warnings appear on the My Time page if the user is not in a team or their team has no approver configured.
- When "Require Signed Timesheet" is enabled (tenant setting), a "Signed Timesheet" section appears on the My Time weekly view. Users must print the A4 report, sign it physically, scan the signed copy, and upload it as an attachment before the Submit button becomes active.
- The report includes: company name, employee info, daily breakdown table, totals, approval timestamps, and signature lines for both the employee and the approver.
- When the signed report requirement is disabled, the attachment section is hidden and submission works as before (fully paperless).
- Ensure the time_management submodule is enabled (Configuration → Tenant Management → Features → ITSM → Time Management).
- To upload a signed timesheet (when required): print the report, sign it physically, scan the signed copy, then upload it in the "Signed Timesheet" section on My Time. The Submit button is disabled until a signed document is attached.
- To submit a timesheet: on the My Time page, when viewing a week with logged time, click "Submit for Approval". This creates a snapshot and routes it to the timesheet_approval flow.
- To withdraw a pending submission: click "Withdraw" on the My Time page while the submission is still pending approval.
Expected outcome: The user has reviewed the result of submit timesheet in the application.
Export approved time
Export approved time.
Who can do this: Tenant administrator, Operator
Before you start
- Time Management must be enabled. Use the application’s time-entry or approval interface; Richard has no time-writing or timesheet-approval tool.
Safeguards
- Time export is accessed from the Time Management page (History & Export tab), not a standalone route. Only approvers and tenant admins can access it.
- Exports are limited to the selected period and the teams the approver oversees.
- Exported approved time includes both task and general activity entries.
- Ensure the time_management submodule is enabled (Configuration → Tenant Management → Features → ITSM → Time Management).
- Open Time Management as a configured approver or tenant administrator.
- To export approved time: go to Time Management → History & Export tab → Export CSV or Export JSON. Scoped to the approver's managed teams and the currently selected period.
Expected outcome: The user has reviewed the result of export approved time in the application.
