Find saved report
Find reusable saved reports and inspect their owner, visibility, scope, recipients and supported outputs. A quick chat query does not automatically become a saved report.
Who can do this: Tenant administrator, Operator
Before you start
- Use an account with access to the stated page and permission for the chosen action.
Safeguards
- The Reporting workspace is for reusable report definitions; live operational widgets belong on the Dashboard, and source-record exports belong on their owning record pages.
- The Reports list can be filtered by All, Personal, or Global and shows scope, owner, reassignment state, configured scope-filter count, recipients, schedule/status, and controls.
- The report owner is a locked recipient. Adding another user, team or group makes visibility Global; removing all shared recipients makes it Personal again.
- Only the owner or a tenant administrator may edit, schedule, run with delivery or archive a report.
- An inactive personal-report owner pauses its schedule; delivery rechecks active recipients.
- Report definitions, execution records and files share their visibility: Personal is owner/admin only, Global is readable within the organization.
- A template may mark output types planned or not connected; do not promise those outputs.
- Data scope is separate from Personal/Global visibility. Review the date window, organization scope, record states and requested sections explicitly.
- Open Reporting.
- Use Reports to review saved definitions, filter by All, Personal, or Global, inspect owner/reassignment state and configured filter counts, or start a new report.
- Use Templates to inspect available structures and confirm which outputs are supported, planned, or not connected.
- Use Dashboard widgets for live operational context and the owning record pages for source-record exports such as ROPA CSV.
Expected outcome: The user has reviewed the result of find saved report in the application.
Build saved report
Build a reusable report from a ready template or blank configuration after identifying its audience, decision, data scope and output.
Who can do this: Tenant administrator, Operator
Before you start
- Use an account with access to the stated page and permission for the chosen action.
Safeguards
- The report owner is a locked recipient. Adding another user, team or group makes visibility Global; removing all shared recipients makes it Personal again.

- The preview may save the current draft first.
- Archiving a saved report preserves its history.
- Richard creates template-backed PDF or XLSX definitions. Use the blank/tabular Builder for explicit CSV or JSON source-column mapping.
- Open Reporting.
- Use Templates to inspect available structures and confirm which outputs are supported, planned, or not connected.
- Use Builder to start from a ready template or blank configuration, then name the report and select content components.
- Configure data-scope filters, component settings, output format, and output columns for tabular formats. The creator is locked as owner/recipient; adding any shared recipient changes visibility to Global.
- Preview the report only after saving or letting the preview flow save the current draft first.
Expected outcome: The user has reviewed the result of build saved report in the application.

- A run without a returned file has not proved successful generation; check History and its delivery state.
- Source exports such as ROPA or time CSV/JSON remain available on their own record or time pages.
- Open Reporting.
- Use Reports to review saved definitions, filter by All, Personal, or Global, inspect owner/reassignment state and configured filter counts, or start a new report.
- Open the saved report and review its scope, output and whether delivery is intended.
- Run or preview the report using the available control.
- Use History to review API executions, output files, duration, delivery state, and runner errors.
Expected outcome: The user has reviewed the result of run saved report in the application in the application.
Schedule saved report in the application
Schedule saved report in the application.
Who can do this: Tenant administrator, Operator
Before you start
- Use an account with access to the stated page and permission for the chosen action.
Safeguards
- The report owner is a locked recipient. Adding another user, team or group makes visibility Global; removing all shared recipients makes it Personal again.

- Data scope is separate from Personal/Global visibility. Review the date window, organization scope, record states and requested sections explicitly.
- Repeating schedules use the selected timezone and local time across daylight-saving changes.
- Weekly schedules select a weekday; monthly or quarterly days beyond the month’s end use its final day.
- Review scope, owner recipient, shared recipients, timezone and schedule before confirming.
- Open Reporting.
- Use Reports to review saved definitions, filter by All, Personal, or Global, inspect owner/reassignment state and configured filter counts, or start a new report.
- As the owner or tenant administrator, use Scheduler or ask Richard to register a one-time, weekly, monthly, quarterly, or custom-timed run through the API runner. Repeating schedules retain timezone-local calendar timing across daylight-saving changes.
- Tenant administrators can use Reassign owner for an active reporting operator. Personal schedules pause if their owner later becomes inactive.
- Use History to review API executions, output files, duration, delivery state, and runner errors.
Expected outcome: The user has reviewed the result of schedule saved report in the application in the application.
